Title of position: Church Administrative Assistant

Position type: Part-time; 12 hours per week

Schedule: Monday – Thursday 9am – 12pm (or three days, 9am – 1pm, any combination Monday – Thursday)

Hourly Rate: $18/hour

Location: Immanuel Lutheran Church, 4947 State Route 31, Clay, NY 13041

Position Summary: The Church Administrative Assistant offers clerical support to the pastor and congregation. The candidate must possess a strong attention to detail, the capability to communicate well with parishioners, and an ability to stay organized.

Position Description: The Church Administrative Assistant handles a wide range of office tasks, from filing to answering phones to responding to emails, and acts as a liaison between the congregation and the pastor.

Essential Duties and Responsibilities:

  • Answers phone calls in the church office.

  •  Completes clerical tasks as necessary including typing, filing, and copying.

  •  Reads and responds to emails.

  •  Welcomes visitors and parishioners to pastor when necessary.

  •  Creates, updates, and helps distribute monthly newsletter.

  •  Distributes mail that is delivered to the office to the appropriate church leaders.

  •  Maintain all church records, such as information regarding baptisms and marriages.

  •  Assists in writing, editing, printing, and distributing the weekly church bulletin.

  •  Assists pastor in arranging details for weddings, funeral, baptisms, and any other event that require the use of the church itself.

  •  Sends out church mailings.

  •  Maintains/updates church website and social media accounts.

  •  Orders office supplies when necessary.

  •  Keeps office clean and orderly.

Required Knowledge, Skills, and Abilities:

  •  Demonstrates the ability to communicate information clearly and professionally to parishioners and visitors.

  •  Demonstrates patience and understanding when dealing with confused, grieving, or difficult visitors to the office.

  •  Is friendly and courteous.

  •  Possesses knowledge of publishing, word processing, including Word and Excel.

  •  Exhibits strong organizational skills.

  •  Pays close attention to detail.

  •  Is capable of efficiently multitasking on a regular basis.

  •  Must be able to maintain confidentiality.

Required experience:

 Minimum of high school diploma or equivalent required

 Basic office work experience required.

 Familiarity with Lutheran liturgy is preferred but not required.

Work Environment: Most of the workday will be spent in an office setting. Some light walking and lifting are required.

Misc. Requirements: Due to the confidential nature of the position, the Church Administrative Assistant cannot be a member of the church nor have a close affiliation with a church member.
